About the role
⚡ Customer Interaction: Greeting customers, listening to their concerns, and understanding their service requirements. Building rapport, providing exceptional customer service, and addressing any questions or concerns.
⚡ Vehicle Assessment: Conducting initial inspections of vehicles for body work, gaining correct information for the workshop to diagnose correctly, Consulting with technicians or using the systems to determine the most appropriate course of action.
⚡ Service Recommendations: Communicating recommended services to customers, explaining the benefits, urgency, and cost implications. Providing accurate estimates for parts, labour, and timelines.
⚡ Service Coordination: Scheduling service appointments based on customer preferences and availability. Coordinating with the workshop controller or technicians to allocate resources and ensure timely completion of repairs or maintenance tasks.
⚡ Customer Communication: Keeping customers informed about the progress of their vehicle or equipment, including any unexpected delays or additional repairs that may be needed. Providing updates, answering queries, and obtaining necessary approvals.
⚡ Sales and Upselling: Identifying and promoting additional services or products that may benefit the customer. Upselling maintenance packages, accessories, or other value-added offerings.
⚡ Documentation and Record Keeping: Maintaining accurate and detailed records of customer information, service requests, and service histories. Updating customer profiles and ensuring proper documentation of repairs, parts used, and costs.
⚡ Billing and Payment Processing: Generating invoices, explaining charges to customers, and processing payments. Ensuring accuracy in billing and coordinating with the accounting department as needed.
⚡ Customer Satisfaction: Following up with customers after service completion to ensure satisfaction, address any concerns, and encourage feedback. Resolving any issues in a professional and timely manner.
Experience to succeed
⚡ GCSEs (or equivalent) including English and Maths.
⚡ Knowledge of automotive servicing, MOT processes, and repair terminology.
⚡ Proficiency in dealership management systems (DMS) and Microsoft Office.
⚡ Understanding of customer service principles, complaint handling, and consumer rights.
⚡ Awareness of warranty and service plan administration.
⚡ Proven customer service/front-of-house experience (ideally within automotive).
⚡ Experience working in a dealership, garage, or aftersales environment.
⚡ Track record of managing service bookings, job cards, and workshop scheduling.
⚡ Handling payments, invoicing, and warranty documentation in line with UK standards.
⚡ Strong organisational skills and time management with the ability to work to deadlines.
⚡ Excellent problem-solving skills with strong attention to detail.
⚡ Team-oriented but able to work independently when required.
⚡ Proactive in suggesting improvements to customer service or workflow.
